A business management- and workflow-orientated information system in the Universidad Nacional de Colombia: perspectives and case-study

This article presents an introduction to a case study concerning the academic secretariat, a dependency of the School of Engineering, Universidad Nacional de Colombia. A methodological approach towards implementing Business management (BM) / Workflow Management System (WMS), using an open source code, aimed at making significant improvements in the School of Engineering’s administrative processes, particularly how teacher's applications are dealt with. This was to optimise the secretariat’s functional performance and create knowledge in this field; general considerations are given. The possible implementation of an integral BPM- and WMS-orientated information system at the academic secretariat (seen as automating key processes) may result in satisfying external and internal clients, through advantages such as reduced cost, waiting time and paperwork, plus improved use of information.
En el siguiente artículo se presenta una introducción del caso de estudio de la Secretaria Académica, dependencia de la facultad de Ingeniería de la Universidad Nacional de Colombia, donde se aplica una aproximación metodológica para una implementación BPM (Gestión de procesos de negocio) / WMS (Gestión de flujos de trabajo) con tecnología de código abierto para realizar mejoras significativas en el desarrollo de los procesos administrativos al interior de la Facultad, específicamente en el proceso de atención de solicitudes docentes con el objetivo de optimizar el desempeño funcional de la Secretaria y la socialización de un espacio para la generación de conocimiento en el área. Se dan consideraciones generales. La posible implementación de un sistema de información integral orientado a BPM y WMS en la Secretaria Académica, visto como la automatización de los procesos claves representa resultados de impacto en la satisfacción de los clientes internos y externos, a través de ventajas como la disminución de costos, tiempos de espera y papel, y un mejor aprovechamiento de la información.
